Yet, a stark reality revealed by the Digital Trust Index Third-Party Edition shows that many B2B partnerships are quietly crumbling under the weight of inadequate identity management. What often starts as a minor login hiccup quickly escalates into a profound challenge to confidence, operational control, and ultimately, credibility.

The Partnership Pre-flight Delay: Onboarding’s Costly Bottleneck

Every new alliance sparks potential, but for nearly a third of organizations, this potential is immediately stifled by onboarding delays. An alarming 31% of third-party users find themselves waiting over a business day to gain essential access to a partner’s systems. In today’s fast-paced digital economy, such a delay isn’t just frustrating; it’s a critical trust-eroder, weakening the foundation before any substantive work can even commence.

This sluggish start is often a symptom of fragmented, non-standardized onboarding processes. External users are frequently forced to navigate a labyrinth of separate access requests for each application, leading to confusion, wasted time, and a significant drag on early-stage collaboration. The data underscores this dissatisfaction: only 38% of third-party users are fully content with the clarity of onboarding steps, and fewer than half express overall satisfaction. This means most new engagements begin clouded by uncertainty, a precarious position for budding partnerships.

The Daily Friction: Login Issues That Linger

Onboarding is merely the first hurdle. Once initial access is granted, a new layer of friction emerges: the daily login experience. The Digital Trust Index reports that a staggering 96% of third-party users encounter issues accessing partner systems. These aren’t isolated incidents; nearly half (47%) face such problems at least weekly, cumulatively costing external users an average of 48 minutes a month just attempting to log in.

The root cause often lies in inconsistent and outdated authentication methods. SMS-based one-time passwords, still used by 58% of firms, are a prime example. While seemingly convenient, SMS is notoriously vulnerable to phishing attacks and offers a poor user experience compared to modern alternatives like biometrics, smart cards, or passkeys. The uneven adoption of these more secure and streamlined methods creates a fractured landscape, devoid of a consistent baseline for both ease of use and security.

For third-party users, these “small inconveniences” snowball into significant operational drag. The frustration of persistent access issues can lead to dangerous shortcuts: reusing passwords, sharing accounts, or attempting to bypass security protocols — actions that systematically compromise the very trust the partnership is built upon.

The Perilous Lag: Movers Delayed, Leavers’ Access Undeterred

Effective identity management extends beyond initial entry; it encompasses dynamic control over access throughout a user’s lifecycle. This includes crucial adjustments when roles change and, most critically, complete revocation when individuals depart.

When a third-party user transitions to a new role within their organization, their access permissions should ideally evolve with their responsibilities. However, this is rarely the case. A significant 35% of organizations take up to a week to adjust access permissions following a role change. During this lag, productivity suffers as workers are locked out of necessary systems, or, more dangerously, retain access to information they no longer require. This misalignment between duties and permissions not only cripples efficiency but also creates gaping security vulnerabilities where old access accumulates, making systems increasingly porous and exposing sensitive data to unauthorized eyes.

These gaps in managing role transitions often set the stage for an even greater threat: the failure to promptly revoke access when an individual leaves an organization. The risks here are acutely sharper. Over half of respondents admit to retaining access to partner systems days, weeks, or even a full month after their need for it has expired. On average, users maintain access to 2.3 systems beyond necessity, with revocation taking more than five business days. This delayed offboarding is a critical security flaw; 47% of users (and 55% in regulated sectors like insurance and pharmaceuticals) could still access information they should no longer see. Beyond the immediate security implications, such negligence can trigger severe compliance breaches, contractual liabilities, reputational damage, and even legal repercussions.

A Strategic Shift: Delegation and Automation for a Stronger Future

Addressing these pervasive issues demands a fundamental shift in perspective. Identity management must move beyond being a mere back-office IT function and be recognized as a strategic business imperative. Not every identity decision needs to reside with central IT, nor should every access request require a manual ticket.

Delegated user management offers a potent solution. In this model, the host organization retains robust control over the identity infrastructure but empowers trusted contacts within partner organizations (e.g., a partner manager or regional lead) to manage access for their own users within defined, secure boundaries. This approach not only maintains system security but also harmonizes identity processes with real-world operational relationships, accelerating responsiveness and reducing bottlenecks.

Automation is the indispensable complement. Automated access provisioning and revocation drastically reduce the risk of human error, ensuring that access changes are executed in real-time, not days later. Regular, automated audits can pinpoint lingering permissions, while real-time monitoring can flag unusual or suspicious behavior early, preempting potential breaches.

Rebuilding Trust, One Control at a Time

The message is unequivocal: identity management is not a luxury; it is a critical business enabler or a significant business risk. The overwhelming consensus, with 86% of respondents citing a need for improved partner access management, underscores its urgency. When asked to prioritize improvements, security topped the list (87%), closely followed by privacy (82%), and user experience (66%). None of these vital objectives can be achieved without robust identity foundations.

For B2B partnerships to truly flourish, organizations must fundamentally rethink their approach to managing third-party users. Every phase, from the initial onboarding to the final offboarding, must be structured, consistent, and purpose-fit. This necessitates moving away from antiquated patchwork systems and legacy processes. It means internalizing that trust isn’t passively given; it is meticulously designed and actively maintained.

And ultimately, it begins, quite simply, with access. Are you designing trust, or inadvertently eroding it?
